Congress registration

Group registration
In case of group registration (more than 10 persons) we invite you to directly contact the Headquarter Secretariat at mailto:isrs2009@clq-group.com. Please note that group registration is available for pre-registrations only until 1st April 2009 and will not be available to on-site registrants.
Confirmation of registration
Receipt of your registration form will directly be acknowledged by e-mail. Within 14 days after receipt of your payment, you will receive by e-mail a final confirmation. The organizers strongly recommend that you print out this letter of confirmation and present it upon arrival at the registration desk in order to collect your name badge and related conference materials. If you have not received any confirmation after 14 days, please contact the Headquarter Secretariat.
Payment methods
All prices are mentioned and fixed in US dollar (USD - $). Payment in any other currency will not be accepted.
Payments for registrations fees are to be made in advance, either by credit card or bank transfer. Please note that bank drafts and checks will not be accepted.
Credit card
Visa, Eurocard/MasterCard and American Express are the only credit cards accepted. Please enter all requested information on the registration form. In case the credit cardholder’s name differs from the registrant’s name, it should be clearly indicated. Please note that your monthly bank statement will indicate payment to “Colloquium Brussels (formerly ICEO).
Bank transfer
Bank transfers can be expensive, since you have to pay bank charges twice. Bank collection fees are the responsibility of the participant and should be paid in addition to the registration fee.
The bank transfer should state the name of the conference as well as the name of the participant, as unidentified bank transfers cannot be processed. If payment is made for more than 1 person or by a company, make sure all names are fully indicated. Participants are also kindly requested to send a copy of their bank statement to the ISRS Headquarter Secretariat by email (mailto:isrs2009@clq-group.com) or by fax (+32 2 779 59 60).

Cancellation & no-shows
Any cancellation of registration should be notified in writing to the Headquarter Secretariat by email at mailto:isrs2009@clq-group.com or by fax at +32 2 779 59 60 and will be subject to the following conditions:
• Cancellations received by 23 March 2009: refund of fee minus a 20% administrative charge and bank service charge deducted. All refunds will be processed after the congress.
• Cancellations received after 23 March 2009 and no-shows: no refund will be made (including cancellation of social events).
Name change
Registered participants who are unable to attend the congress may nominate (free of charge) a substitute participant by notifying the Congress Secretariat in writing before 10 May 2009. The registered participant must provide the last and first name and the e-mail address of the new participant. However, we cannot change the invoice or make any other change. Substitutions after that date will not be allowed.
Hotel accommodation
Payment & DepositA valid credit card number,its expiry date and the svc number (your 3 Digit Security Number located on the back of your credit card) must be given when making your booking request in order to secure your reservation. The hotel will charge the first night to guarantee your booking, the deposit paid will be deducted from your final invoice upon check out. The hotel draws your attention that the payment by credit card (foreign credit card) will waive the 10% Government tax which should be added to the rates shown on hotel presentation. Any other form of payment will imply the full application of the government Tax. Payment after the congress is not possible.
IMPORTANT: Please ensure that this credit card will still be valid at the time of the congress as the hotel will charge the first night guarantee or in case of no-show or cancellation according to the conditions of cancellation,early departure or reduction of stay .(see point below).
Cancellation ,reduction of stay and no-show
Any cancellation should be notified in writing to the Headquarter Secretariat and will be subject to the following conditions:
• Cancellations made by 10th of March 2009: no cancellation fee will apply
• Cancellations made after 10th of March 2009 : one night deposit will be charged by the hotel and is non-refundable.
• Cancellations received after 10th of April 2009 and no-shows or reduction of stay: the full stay will be charged (the hotel will keep the one-night deposit and will charge your credit card with the amount corresponding to the remaining stay).
Change of booking
Any change of hotel booking (dates, name, hotel) must be notified in writing before 10th April 2009 to the Headquarter Secretariat and not directly to the hotel. A charge of $50 will be applied charged by the Headquarter Secretariat if you need to make an alteration to your booking once it has been confirmed. Any reduction of the stay after the 10th April 2009 or early departure during the stay will imply the full charge of the original booking.
Please do not contact the hotel directly in case of any booking changes. All changes are subject to hotels availability.
Taxes
Rates mentioned include the 10% service charge and 1% tax on the service charge but are subject to the 10% government tax (not included).If a guest is non resident in Korea and payment is settled by overseas credit card, then this 10% government tax will be waived (for accommodation only).
Breakfast
Rates do not include breakfast and it can be ordered at the hotel. It costs KRW 25 000 (+/- $ 18) per person and is subject to 10% service charge and 10% government tax (not included).
Confirmation
Within 14 days, you will receive by e-mail a confirmation of your hotel reservation including the name and address of your hotel and the cost. If you have not received any confirmation after 14 days, please contact the Headquarter Secretariat.
Special requirements
Late arrival (after 6 PM) should be indicated on your hotel booking form in order to secure your room. Please also indicate if you wish a smoking room, twin beds, or if you have any other special requirement.
